The Proper Way to Write a Thank You Note

When someone receives a gift, award, scholarship or support from someone else, it is very important that they write a thank you note to the individual or organization that has assisted or recognized the individual. By writing a thank you note a person will feel more appreciated and will also make them more likely to repeat the good deed that they have completed.

It will also lend to the good opinion that the person hopefully has of the person that they have given too or will give them a better impression of a person that they do not respect as much. When writing a thank you note there are some guidelines that will make writing the note easier and will also make the note seem more sincere to the person to whom it is addressed.

First and most important is that the thank you note must be hand written. A typed pre-made cookie cutter thank you letter will not have the same effect or be received in the same way as a nice hand written note. The note should start out with a formal greeting, but the person should be addressed, as a person would be in person. It would also be awkward if a person addresses there mother in the beginning of the thank you note using their first and last name so it should be done in the most logical and representative way. It should then state why the person is thankful or grateful. It should have an additional statement directed specifically to the recipient so that it seems to be written directly for them. If a person does feel sincerely grateful or appreciative they should express it very clearly in the thank you note. The note should consist of at least three sentences. The card should be signed in the appropriate manner based on how well the writer knows the recipient. The envelope should be addressed in a formal manner in the same way that a formal invitation is addressed. The note should also be written on a nice thank you card or nice paper.

Some examples of thank you notes for different occasions are given below and will help give ideas on what should be included in a thank you note.

Graduation Present:

Dear Mr. and Mrs. Smith,

Thank you so much for your generous monetary gift. I truly appreciate your support of my future endeavors and my aspirations to become a teacher. I would also like to let you know how much I appreciated your support through high school and of the organizations that I have been a part of.

Thank You Again,

Scholarship:

Dear Denver Area: Society of Secondary Educators,

Thank you so much for the generous scholarship that I have been awarded by your organization. I truly appreciate your support of my goals and plans to become a secondary education teacher. The financial support that you have given me towards achieving my future career has been unmatched and is extremely
appreciated.
